Manitoba Keewatinowi Okimakanak Inc. (MKO) is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office. Responsibilities include managing schedules, coordinating meetings, handling correspondence and maintaining filing systems. The Administrative Assistant will also assist with various administrative tasks, contribute to project management and serve as a point of contact for internal and external stakeholders. Strong communication skills, proficiency in office software and the ability to multitask in a fast-paced environment are essential for success in this role. Roles and Responsibilities
• Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
• Prepare and organize documents, reports, and presentations for meetings and projects.
• Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
• Maintain filing systems, both electronic and physical, ensuring documents are organized and easily accessible.
• Assist in the preparation of budgets and financial reports, as well as track expenses.
• Coordinate office activities and events, including meetings, conferences, and team-building activities.
• Support project management by tracking deadlines, deliverables, and progress updates.
• Serve as a point of contact for internal and external stakeholders, addressing inquiries and providing information as needed.
• Assist with onboarding new employees and maintaining employee records.
• Ensure office supplies are stocked and manage inventory as needed.
• Additional duties as assigned
Education and Experience
• High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.
• Proven experience as an administrative assistant or in a similar role, typically 1-3 years.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
• Experience with scheduling and calendar management, as well as handling correspondence and documentation.
• Knowledge of basic accounting principles and experience with invoicing or budgeting is a plus.
• Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively.
• Excellent verbal and written communication skills.
• Ability to work independently and collaboratively in a team environment.
• Must possess a valid driver’s license and be willing to travel, with access to a reliable vehicle
• Must be able to obtain a satisfactory Criminal Record Check (including Vulnerable Sector Search), a satisfactory Child Abuse Registry Check and a satisfactory Adult Abuse Registry Check upon hiring.
• A sensitivity and understanding of culture, language and issues relevant to Indigenous communities.
Salary is dependant upon qualifications and experience
